Sick Leave Module for Indefinite Duration
With the sick leave module, it is possible to report employees sick for an indefinite period. Once it becomes clear when the employee has recovered, you can mark them as recovered, so the indefinite period is converted into the actual absence period.
Setup
Read below how to activate this module in the system so that you can start reporting employees sick.
Add a Leave Type for Sick Leave
First, go to ‘Settings (gear icon top right)’ ⇒ ‘Master data’ ⇒ ‘Leave types’.
Click ‘Add’.
Give the leave type a name, for example ‘sick leave indefinite’ or simply ‘sick’.
Then:
- Set ‘Max. carryover’ to 0
- Uncheck ‘Show balance’
- Assign colors to ‘Color’ and ‘Color in request’
Finally, click ‘Save’.
Link Leave Type to Employment
Once the leave type is created, it must be linked to employees.
Go to:
‘Settings (gear icon top right)’ ⇒ ‘Master data’ ⇒ ‘Employment contracts’
Open the details of the employment contract for the employees you want to report sick.
Click ‘Add leave type’.
- Set the amount to 0
- Fill in the rest as usual
- Click ‘Save’
This must be done for all employment contracts linked to employees you want to start reporting sick.
Activate Sick Leave Module via System Settings
Go to:
‘Settings (gear icon top right)’ ⇒ ‘Sick days’ ⇒ ‘General’
At ‘Default type for sick reports’, select the created leave type.
Click ‘Save’.
The leave type is now linked to the sick leave module.
Activate Module Retroactively by Recalculating Balance
When a change is made to an employee’s contract, the balance must be recalculated for the leave type to appear in the employee balance overview.
To do this for all employees:
Go to:
‘Settings (gear icon top right)’ ⇒ ‘Master data’ ⇒ ‘Fiscal years’
Click ‘Recalculate balance’.
The leave type ‘sick’ will now be visible for all employees.
You can now start reporting employees as sick and marking them as recovered.
Who Can Report Sick Leave
Multiple people can report employees as sick.
- Someone with an administrative role is always authorized to report sick and recovery
- The administrator can also allow managers to report their employees as sick
If you want to receive an email when an employee is reported sick:
Go to:
‘Settings (gear icon top right)’ ⇒ ‘Sick days’ ⇒ ‘General’
Enable ‘Send email to manager on sick report’.
The assigned manager will then receive an email when the employee is reported sick.
Reporting
To get an overview of sickness periods:
Go to:
‘SICK DAYS (top of the page)’ ⇒ ‘Reporting’ ⇒ ‘Sick reports’
- Leave the employee field on ‘—please select—’ to see all employees
- Optionally enter a period
- Click ‘Show report’
