Administration of overtime
In case your company allows overtime to be registered for a particular type of leave (this is often ‘time off in lieu’), you need to set this up in the system settings. Then, you need to go to the settings of the type of leave in question (for example, ‘time off in lieu’) and allow it to be registered as overtime. To do this, go to ‘Settings (Gear icon top right)’ ⇒ ‘Master data’ ⇒ ‘Types of leave’ and select the pencil icon next to the type of leave in question. The following screen will appear:
Check the box for ‘Is overtime’ and save the settings. This type of leave can now be used for stating overtime. This means that balance will be added here when overtime is stated.
‘Overtime cannot be used in leave request’ is used to prevent this type of leave from being shown when an employee is making a leave request. This way, employees can acquire overtime for this type of leave, but they cannot request leave in exchange. This option could be used when overtime hours can only be paid and cannot be used for leave.
Attention! This option will only become visible once you have selected the ‘Is overtime’ option.
Overtime percentages
When your company works with overtime percentages, it is possible to incorporate these into the system as well. For example, when it is decided that your employee will work for 110% after 19:00 and for 150% after 22:00, you could add this data to the system, so that the hours of overtime will be calculated according to this percentage. Then, it follows that should this employee work overtime from 17:00 until 0:00, the following calculation will be made for his or her balance:
From 17:00 until 19:00 = 2 hours.
From 19:00 until 22:00 = 3 hours (+10% extra) and 18 minutes
From 22:00 until 0:00 = 2 hours (+50% extra) and 1 hour = 3 hours.
In total, this employee has worked overtime for 8 hours and 18 minutes, while it was actually only 7 hours. By adding this percentage into the system, the balance transaction will contain 8 hours and 18 minutes.
There are two possible ways to add percentages to overtime hours.
– The first option is to let the employee manually add the percentage. To allow this, go to ‘Settings (gear icon top right)’ ⇒ ‘Leavedays’ ⇒ ‘General’ at the option ‘Use overtime percentage’
– The second option is to add these overtime specifications to the system. However, it is not possible to do this yourself; you need to contact our service desk for this.
